1.2 Usage Data
We automatically collect technical data when you interact with our services, including IP address, browser type, device identifiers, referring URLs, pages viewed, date and time stamps, error logs, and similar diagnostic information.
1.3 AI Interaction Data
Conversations handled by AI agents deployed on your behalf, including call transcripts, chat logs, and messaging records. This data is used exclusively to train and improve your specific AI system and is never shared with other clients.
1.4 Marketing Subscription Data
If you opt in to marketing communications, we collect your email address and/or phone number for the purpose of sending promotional materials, product updates, and service announcements.

2. How We Use Your Information
We process your data to:

• Send marketing and promotional materials (only with your explicit opt-in consent)

3. Sharing and Disclosure
We do not sell or rent your personal data. We share data only with the following categories of recipients under strict confidentiality terms:
Service Providers: Third-party vendors that perform services on our behalf (hosting, payment processing, CRM, analytics) under binding data-processing agreements.
AI Model Providers: We share conversation data with AI model providers (such as Anthropic, OpenAI, or Google) solely for the purpose of processing conversations on your behalf. Information shared with AI model providers is used exclusively to process your conversations and is not used to train their general-purpose models.
Legal and Regulatory: We may disclose information when required by law, regulation, legal process, or enforceable governmental request, or in connection with a business transfer, merger, or acquisition.
No personal information will be shared with third-party platforms for marketing or promotional purposes. No mobile information or phone numbers will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors to support service delivery is permitted. All other use-case categories exclude text messaging originator opt-in data and consent. Opt-in information will not be shared with any third parties.
3.1 Sub-Processors and Vendors
The following third-party service providers process data on our behalf:
Hosting / Infrastructure: Amazon Web Services, Hostinger — Servers, file storage, backups
CRM / Automation: GoHighLevel — Contact records, scheduling, campaigns
Payments & Billing: Stripe, PayPal — Name, email, card last-4, invoices
Accounting: QuickBooks — Invoices, payment records
Transactional Email: Resend — Password resets, system notifications
AI Models: Anthropic, OpenAI, Google — Conversation processing only
Communication: Twilio — SMS and voice delivery
Analytics: Cookies / tracking tools — Usage patterns, page views
4. Payments
Billing and payments are handled securely by trusted third-party payment processors, including Stripe and PayPal. Accounting is managed through QuickBooks. We do not collect, process, or store your full payment details (such as complete credit card numbers) on our servers. All payment transactions are encrypted and processed in accordance with PCI-DSS standards by our payment processors.
5. Data Retention
Account data: Duration of account + up to 7 years for compliance
AI conversation data: Duration of service agreement + 90 days, then permanently deleted
Cookies and logs: Up to 24 months
Marketing preferences: Until you unsubscribe or request deletion
Upon expiration of the applicable retention period, data is permanently deleted or anonymized unless a longer retention period is required by law.
