Privacy Policy

This Policy applies to personal information we collect as a business about visitors to the Site, prospects, customers, and other individuals who interact with Syntherly.

When we operate the Services for a client, we process personal information about that client’s leads, customers, and contacts on the client’s behalf, as a service provider. That processing is governed by our agreement with the client and our Data Processing Addendum, and by the client’s own privacy notice, not by this Policy. If you interacted with a business that uses Syntherly and have a privacy request about your information, please contact that business.

Where other privacy laws apply (for example, the EU/UK GDPR), additional rights may apply; contact us and we will respond as required.

We collect the following categories of personal information, depending on how you interact with us:

We do not intentionally collect sensitive personal information beyond account login credentials, and we ask that you not submit sensitive information through the Site except where expressly required.

From you, when you fill out a form, book a call, use the demo, create an account, or purchase services.

Contact form and newsletter. If you use the contact form on syntherly.com, we collect your name, your email address, your message and, if you choose to give it, your business or trade. If you sign up for our newsletter, we collect your email address only. Neither form adds tracking of its own: submitting one does not send an analytics or advertising event.

Automatically, through cookies and similar technologies that record device and usage data when you use the Site (see section 7).

From third parties, such as our analytics, advertising, and payment providers, and publicly available sources used for sales research.

We use personal information to: (a) provide, operate, and secure the Site and demo; (b) respond to inquiries and conduct sales and onboarding; (c) process orders, billing, and payments; (d) communicate with you, including marketing where permitted (you may opt out); (e) analyze and improve our offerings; (f) comply with law and enforce our terms; (g) for aggregated and de-identified analytics, which we may retain and use to improve our platform; and (h) subject to your choices described in section 7, measure how our advertising performs and show our ads to people who have visited the Site.

Contact form and newsletter. We use what you send through the contact form to read and reply to your enquiry. Submitting the contact form does not subscribe you to our newsletter or to any marketing. We use the email address you give for the newsletter only to send you a confirmation email and, once you confirm, the newsletter. Every issue has an unsubscribe link, and you can unsubscribe at any time.

Service providers. We share personal information with service providers that help us run the Site and our business. They may use it only to perform services for us. The providers that handle personal information are listed below, with the information each one handles and why.

Providers for the Site and our business. These providers handle information about visitors, prospects, and customers of Syntherly.

We use a phone number given for a booked call only to make that call. We do not text it, and we do not send it to advertising platforms.

Changes to this list. We update this list when we add or replace a provider that handles personal information, and the “Last updated” date at the top of this Policy shows when. Meta Platforms, Inc. is not listed here because it does not act as our service provider; see “Advertising partner.” in this section.

Contact form and newsletter. Each contact form message is stored privately with our hosting provider. Our email provider sends our team a notification email that includes your name, email address, business (if you gave one) and message, and keeps a log of sent emails for up to 30 days. The notification is delivered to our team's email inbox. Newsletter email addresses are stored with our email provider, which also sends the newsletter. These providers may use the information only to perform services for us. We do not sell or share the information you submit through the contact form or newsletter signup, and we do not send it to Meta or any other advertising partner.

Advertising partner. When advertising is on for your visit to syntherly.com, we disclose information to Meta Platforms, Inc. as described in section 7. Meta is not acting as our service provider for this: it receives the information as a third party and uses it under its own terms and privacy policy, including to deliver and measure ads.

Legal and safety. We may disclose information to comply with law, respond to lawful requests, protect rights and safety, and enforce our terms.

Business transfers. We may disclose information in connection with a merger, financing, acquisition, or sale of assets, subject to this Policy.

Sale and sharing of personal information. We do not sell your personal information for money. When advertising is on, we disclose information about your visit, and for bookings a hashed email address, to Meta so it can measure our ads and show them to people who have visited (see section 7). Some state laws treat this as “sharing” or “sale” for targeted or cross-context behavioral advertising. For visitors in the 50 states and Washington, D.C. outside California it is on by default; in California it happens only if you turn it on; anywhere else, including US territories, it does not happen. You can opt out at any time through “Your Privacy Choices” in the site footer, and we treat a Global Privacy Control signal as an opt-out. We do not otherwise sell or share personal information, and we do not knowingly share the personal information of anyone under 16.

Consent. If you provide your phone number and check the SMS-consent box on one of our forms, you agree to receive SMS communications from Syntherly about your inquiry, your appointments, and our services. Consent is not a condition of purchase.

Frequency and rates. Message frequency varies. Message and data rates may apply.

Opting out and help. Reply STOP to cancel at any time. Reply HELP, or email hello@syntherly.com, for assistance.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Cookies and local storage. This section describes syntherly.com. Other properties covered by this Policy may use their own cookies and similar technologies. The syntherly.com website records the choices you make about analytics and advertising in your browser’s local storage and in a cookie named “syntherly_choice”, so that the site and our server can honor them right away and on later visits. That cookie is set only when you make a choice, and it holds nothing but that choice. The site also sets a cookie named “syntherly_region”, which records only which of the defaults described below applies to you, based on your approximate location. When advertising is on, the Meta Pixel sets advertising cookies on syntherly.com: “_fbp”, which identifies your browser to Meta, and “_fbc”, which is set when you arrive from a link on Facebook or Instagram. When advertising is off, no advertising cookies are set. Our booking page uses a scheduler provided by Calendly, which loads inside the page. Calendly uses its own cookies to run the calendar and may load its own analytics and advertising tools. Your choices on syntherly.com, including a Global Privacy Control signal, cover the tools syntherly.com loads itself, not Calendly’s. Calendly’s own cookie notice and its privacy policy cover those. You can also block or delete cookies and local storage through your browser settings.

Where you are. The defaults on syntherly.com depend on where you are, based on your IP address. If you are in one of the 50 states or Washington, D.C., outside California, analytics and advertising are on when you first visit, and you can turn either off at any time under “Your Privacy Choices”. If you are in California, both stay off until you turn them on. If you are anywhere else, including a US territory, analytics stays off until you turn it on, and we do not use advertising tracking at all. If we cannot tell where you are, we use the California settings, or the settings for visitors outside the United States if we cannot tell your country.

Analytics. We use analytics and performance measurement services (Google Analytics, Vercel Web Analytics, and Vercel Speed Insights) to understand how visitors use syntherly.com and how quickly its pages load. Whether they load on your first visit depends on where you are, as described above. When analytics is on, the analytics service sets cookies in your browser to distinguish one visit from another. When it is off, these services do not load and no analytics cookies are set.

Advertising. When advertising is on, we use the Meta Pixel, a tool from Meta Platforms, Inc., to measure how our ads on Facebook and Instagram perform and to show our ads to people who have visited syntherly.com. The Pixel sends Meta information about your visit from your browser: the pages you view, when you tap to call or email us, and when you start or complete a booking, along with your IP address, browser and device details, and the advertising cookies described above. Our server also sends the same events to Meta directly, through Meta’s Conversions API, so each one is counted once even if your browser blocks the Pixel. When you complete a booking, our server adds a hashed version of the email address you booked with, which Meta uses to match the booking to a Meta account. We do not send Meta your name, your phone number, or anything else you enter when you book. None of this happens when advertising is off, and it stops as soon as you turn advertising off. Meta uses the information it receives under its own terms and privacy policy, including to deliver and measure ads.

Global Privacy Control. We honor recognized opt-out preference signals, such as the Global Privacy Control (GPC), as a request to opt out of any sale or sharing for the browser or device that sends it. If your browser sends a GPC signal, wherever you are, syntherly.com treats it as a choice to decline both analytics and advertising: neither loads for that browser, the advertising option is not offered, and our server sends Meta nothing about that visit.

Changing your choices. You can turn analytics or advertising on or off at any time by selecting “Your Privacy Choices” in the footer of syntherly.com. When you turn one off, syntherly.com deletes the cookies it set for that purpose from your browser and reloads the page, and it does not load on later page views. When you turn advertising off, our server also stops sending events to Meta from that point. Turning advertising off does not recall information Meta has already received; for that, see Meta’s privacy policy, or contact us at privacy@syntherly.com. Meta may also have set its own cookies, such as “fr”, on facebook.com. syntherly.com cannot delete those; you can manage them in your Meta account settings and your browser.

If you are a California resident, you have the following rights, subject to verification and exceptions: (a) Know and access the categories and specific pieces of personal information we have collected, the sources, purposes, and recipients; (b) Delete personal information we collected from you; (c) Correct inaccurate personal information; (d) Opt out of any sale or sharing of personal information for cross-context behavioral advertising; (e) Limit the use of sensitive personal information to permitted purposes; and (f) Non-discrimination for exercising these rights.

How to exercise. Submit a request to privacy@syntherly.com. We will confirm receipt and respond within the timelines required by law.

Verification and agents. We will take reasonable steps to verify your identity before responding. An authorized agent may submit a request with proof of authorization. If we deny a request, you may appeal by replying to our response.

Retention. We keep personal information for as long as needed for the purposes in this Policy, to comply with law, resolve disputes, and enforce agreements, after which we delete or de-identify it.

Contact form and newsletter. We keep the copy of each contact form message stored with our hosting provider for 24 months after we receive it, then delete it. The notification email in our team's inbox is not deleted automatically. We keep it for as long as we need it to reply to your enquiry, to manage any resulting business relationship, and to handle any dispute, and we delete it when those needs end. Our email provider's log of sent emails is kept for up to 30 days. If your enquiry leads to a business relationship, we keep the relevant information as part of your customer records instead. We keep your newsletter email address until you unsubscribe. After you unsubscribe, we keep the address on a suppression list, used only so that we do not email you again. You can ask us to delete your contact form messages at any time by writing to privacy@syntherly.com. We keep an unsubscribed address on the suppression list even after a deletion request, because removing it would let us email you again by mistake.

Security. We use reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure.

The Site is not directed to children, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will delete it.

Third-party links. The Site may link to third-party sites we do not control; their privacy practices are their own.

US-based processing. We operate in the United States, and personal information is processed here. If you access the Site from outside the US, you do so understanding it is processed in the US. syntherly.com does not use advertising tracking for visitors outside the United States.

We may update this Policy from time to time. The “Last updated” date shows when. Material changes will be posted on the Site, and where required, we will provide additional notice.
